How to Manage Leads in the Transaction Management Pipeline in REsimpli

Overview

The Transaction Management Pipeline is where a deal lives once it is under contract. It tracks the property from contract through marketing, offers, closing, and finally sold.

You can run separate pipelines for different strategies, and customize the stages in each one to match how you actually work.

Before You Start

A property only enters the Transaction Management Pipeline once it is set to the Under Contract status. That is the gateway. Until a property is under contract, it stays in Active Leads and will not appear here.


Steps

Part 1: Move a Property Under Contract

Step 1: Change the status

Open the property, click its current status, and change it to Under Contract.

It will be added to the Transaction Management Pipeline automatically.


Step 2: Add your contract details

Fill in the details of the deal:

  • Offer Details

  • Notes

  • Offer Type

  • Under Contract Details


Step 3: Choose your exit type

Select what you are doing with the property, such as Turnkey or Wholesale Assignment Contract.


Step 4: Choose the pipeline

Select which pipeline this property should go into.

If the deal is a wholesale assignment, for example, choose your Wholesale pipeline.


Step 5: Set the transaction status

Choose the stage the deal is at, such as Move to Under Contract or Offer from Team Member.

Your property will now appear in that pipeline, under New.


Part 2: Set Up Your Pipelines

Step 6: Add or manage pipelines

You are not limited to the pipelines you start with. You can:

  • Add a completely new pipeline, for example for Wholetail or Turnkey

  • Edit your existing pipelines

Set them up to match the strategies you actually run.


Step 7: Customize the stages

Within a pipeline, click the three dots on a status to:

  • Change the title

  • Change the colour

  • Move it

  • Collapse it

  • Add a new status

  • Delete the status

This lets you shape each pipeline around your own process.


Part 3: Work the Deal

Step 8: Move the property as things progress

Move the property between stages as the deal develops. For example:

  • Marketing the property to buyers

  • Offers received

  • Offer accepted

  • Scheduled for closing or clear to close

Keeping this current is what makes your tracking and documentation useful.


Part 4: Close the Deal

Step 9: Mark the property as sold

You can do this from either the property under the Under Contract status, or from the Transaction Management Pipeline.

  1. Update the current status to Sold.

  2. Add the closing details.

  3. Add your profit on the deal.


Step 10: Find your sold properties

Go to Properties, then Sold.

Your property will be listed there.


Step 11: Review the history

Open the lead's activity log in the centre of the profile and click All.

You will see every change made to that lead, including which statuses it passed through and when, and when it was moved to sold.


Important Notes

  • Under Contract is the entry point. A property has to hold that status before it appears in the Transaction Management Pipeline.

  • Once a property is under contract, it is added to the pipeline automatically. There is no separate step.

  • You can create as many pipelines as you have strategies, and customize the stages inside each.

  • The exit type and the pipeline are separate choices. The exit type records your strategy; the pipeline is where the deal is tracked.

  • Marking a property sold can be done from either place — the property record or the pipeline. Both do the same thing.

  • Record your profit when marking a deal sold, or your reporting will be incomplete.

  • The activity log is your audit trail. It shows every status the property passed through, with dates.


Troubleshooting

Your property is not showing in the Transaction Management Pipeline

  • It is probably not set to Under Contract. That status is what moves it in.

You cannot find a property in the pipeline you expected

  • Check which pipeline was selected when the contract details were added. Properties go into the pipeline chosen at that point.

Your pipeline stages do not match how you work

  • Customize them. Click the three dots on any status to rename, recolour, move, add, or delete stages.

You need a pipeline for a strategy you do not have one for

  • Add a new pipeline. You are not limited to the ones you start with.

You cannot remember how a deal progressed

  • Open the lead's activity log and click All. Every status change is recorded with its date.

A sold property is not in the Sold pipeline

  • Check its status was updated to Sold rather than left at an earlier stage. Sold properties are found under Properties, then Sold.


Summary

You managed a deal through the Transaction Management Pipeline. You moved the property to Under Contract, which added it to the pipeline, then filled in the offer and contract details, chose an exit type, and picked the pipeline and transaction status. You customized your pipelines and stages to match your process, moved the deal through marketing, offers, and closing, and finally marked it Sold with your profit recorded. The full history stayed available in the lead's activity log.
