Overview
This automation runs a sequence of steps whenever a lead is moved into a particular status — for example, starting a follow-up sequence the moment a lead is marked No Contact Made.
It can send texts and emails, book tasks for your team, have the AI make a call, and update the record, all without you doing anything.
Steps
Part 1: Build the Automation
Step 1: Open your lead automations
Go to Automations.
Click Leads.
Select the lead status changed automation.
You will see your existing automations and the option to add a new one.
Step 2: Name it
Enter an automation name.
Step 3: Set the condition
Choose what triggers the automation — a property in a particular pipeline being moved to a particular status.
The video uses the Active Leads pipeline and the status No Contact Made.
Step 4: Set your timing
Choose day-based or delay-based timing, set your default time zone, and click Save.
Step 5: Add an SMS step
To text the lead:
Add a Send SMS step.
Either turn on AI SMS Assist to have the message written for you, write it manually, or select one of your templates.
Choose the recipient — the seller, buyer, agent, or vendor tied to the property.
Choose the number the message is sent from.
On the sending number: you select which marketing campaign the message sends from, and a campaign needs a phone number attached to it. If your campaign has no number assigned, select the fallback communication number instead, and the message will send from there.
Step 6: Add an email step
To email the lead:
Add a Send Email step.
Fill in the sender details and select the receiver details.
Write the email content, or select an existing template.
Your sending email address must be verified before this step will work.
Step 7: Add any other steps
You can also:
Send direct mail
Have the AI make a call
Add a note
Add a tag
Change the pipeline or status
Assign a team member
Notify a team member — for example, everyone assigned to that lead
Stop other automations
Step 8: Add a task for your team
To create a task as part of the sequence:
Select the task type, or click Add Type if none of the existing ones fit.
Add the details.
Select the assignee, such as your lead manager.
Set the priority.
Set a task reminder for the assignee, sent by SMS or email.
Step 9: Save
Click Save once your sequence is set up the way you want.
Part 2: Test It
Step 10: Move a lead
Move a property into your trigger status — No Contact Made in the video's example.
The automation will fire.
Step 11: Confirm it ran
Open that property.
Check the automations currently active on it.
You will see your automation listed as active.
Step 12: Check the steps
Click the automation to see which steps have already run and which are still pending.
Important Notes
The condition is a pipeline plus a status. The automation only runs for leads in that pipeline moved to that status.
A campaign needs a phone number to send SMS from. If your campaign has none, use the fallback communication number.
Your sending email address must be verified before an email step will work.
AI SMS Assist can write the message for you inside the automation, rather than you writing or picking a template.
The AI can make a call as an automation step.
Tasks created by an automation carry a type, assignee, priority, and reminder, just like tasks you create by hand.
The per-property automation view is the quickest way to confirm what has run and what is still scheduled.
Troubleshooting
Your automation did not trigger
Check the condition. It needs both the right pipeline and the right status — a lead moved to that status in a different pipeline will not fire it.
Your SMS step will not send
The marketing campaign you selected may have no phone number attached. Choose the fallback communication number instead.
Your email step is not working
Your sending email address is probably not verified. Verify it, then add the step back.
A task was created with nobody assigned
Check the assignee on the task step. If it assigns by role, that role needs to be filled on the lead.
You are not sure whether an automation is running on a lead
Open the property and check its active automations. Clicking the automation shows executed and pending steps.
Summary
You built an automation that runs when a lead changes status. You opened Automations and Leads, named your automation, and set the condition to a pipeline and status such as No Contact Made. You set your timing, then built a sequence — an SMS using AI SMS Assist or a template, an email, direct mail or an AI call, notes, tags, team notifications, and a task with its own assignee and reminder. You tested it by moving a lead into the trigger status and confirmed from the property which steps had run.
