Overview
This automation runs the moment a new lead lands in your account. It can assign the lead to the right person, text them, create tasks, and notify your team — before anyone has touched it.
It is also where you decide how leads get distributed across a team, which is the part most worth getting right.
Steps
Part 1: Build the Automation
Step 1: Open your new lead automations
Go to Automations.
Click Leads.
Select New Lead Created.
You will see your existing automations and the option to add a new one.
Step 2: Name it and choose the campaign
Add an automation name.
Select the campaign this automation applies to.
Click Save.
Only leads tied to that campaign will trigger this automation.
Step 3: Set your timing
Choose day-based or delay-based timing, and set your default time zone.
Step 4: Check the pipeline and status
Some steps are selected for you, including the pipeline and status.
When you add a lead by hand you choose these yourself, so this step is usually not needed. It matters for inbound contacts. If someone calls or texts a number tied to this campaign and is not yet in your system, they are created in the pipeline and status set here — for example, Active Leads and New Leads.
Step 5: Assign the lead
Choose the role and team members the lead should go to, such as your lead manager.
Step 6: Choose how leads are distributed
If more than one person holds that role, decide how leads are shared out:
Method | How it works |
Round robin | Leads are shared equally in turn. The first lead goes to the first person, the second to the second, and so on. |
Weighted round robin | Leads are shared in turn, but not evenly. |
Claim | Everyone is notified, and team members claim leads themselves. |
Manual assignment | Someone already assigned to the property chooses who takes it. |

Step 7: Add an SMS step
To text the lead as soon as they arrive:
Add a Send SMS step.
Select the recipient — the seller, buyer, agent, or vendor tied to the property.
Select which of their contacts to text.
Choose the number the message sends from, and set a fallback communication number.
Step 8: Add any other steps
You can also:
Add a note
Set up a task
Add a tag
Mark the lead as qualified
Assign team members
Notify team members — by role, by naming members, or everyone assigned; then choose the channel and write the text
Skip trace the record
Stop other automations, or move the lead into another automation
Step 9: Save
Click Save.
Part 2: Test It
Step 10: Add a lead
Add a new lead, choosing the property type.
Select the same marketing campaign you chose when setting up the automation.
Set the pipeline status and fill in the contact details, including the primary number.
Click Add Lead.
Step 11: Confirm it ran
Open the property and click the automation button.
You will see your automation listed as active, confirming it triggered when the lead was created.
Important Notes
The campaign is the trigger link. A lead added under a different campaign will not fire this automation.
The pipeline and status setting is what catches inbound contacts. Someone who calls or texts a campaign number without being in your system is created there.
Lead distribution only matters when several people hold the same role. Round robin shares evenly, claim lets people pick, and manual assignment puts a person in charge of deciding.
Round robin is the fairest default if you want an even workload. Claim suits teams who want to self-select. Manual keeps control with whoever owns the lead.
Skip tracing can run automatically here, so new leads arrive with contact details already looked up.
Automations are confirmed on the property itself, which is the quickest way to check a test worked.
Troubleshooting
Your automation did not run on a new lead
Check the lead's marketing campaign matches the one on the automation.
Leads are all going to one person
Check your distribution method. Without round robin, leads may not be shared out.
Inbound callers are landing in the wrong pipeline
That is set on this automation. Check the pipeline and status configured in Step 4.
Nobody picked up a new lead
If you are using claim, leads wait until someone takes them. Switch to round robin if you want them assigned automatically.
Your SMS did not send
Check the recipient and contact selected on the SMS step, and that the sending number or fallback number is set.
