Overview
Tags are labels you put on records so you can group and find them later. They make filtering and reporting much easier.
You can add tags as you create records, add or remove them in bulk, rename a tag everywhere at once, and delete tags you no longer use.
Before You Start
Editing or deleting a tag affects every record that has it, not just the one you are looking at.
Renaming a tag updates it on all those records. Deleting a tag removes it from all of them, and you will no longer be able to filter by it.
Steps
Part 1: Add Tags to Records
Step 1: Tag a new record
When you add a new lead, either manually or through a bulk import, you can attach a tag at the same time.
Step 2: Tag an existing record
Open the lead and add the tag there.
Step 3: Tag many records at once
Switch to List view.
Click Selected, then Select All to choose every lead, or select the ones you want.
Click Actions.
Choose to add a tag, or to remove a tag from those records.
Part 2: See All Your Tags
Step 4: Open your tag list
Click Settings.
Click Customizations.
Click Tags.
You will see every tag created in your account, across your Leads, Buyers, Agents, and Vendors.
Step 5: Check how a tag is being used
For each tag you can see:
Usage — how many times it has been used
When it was created
When it was last updated
The usage number tells you how many records will be affected if you change or delete that tag.
Part 3: Find Records by Tag
Step 6: Filter by tag
Go to your All Leads pipeline.
Add a filter.
Choose Tags as the parameter.
Select the tag you want.
Click Continue.
You will see every record carrying that tag. The number should match the usage count in your settings.
You can add other filter parameters alongside the tag if you want to narrow it further.
Part 4: Rename or Delete a Tag
Step 7: Rename a tag everywhere
Edit the tag in your tag settings.
The new name applies to every record that has it. The tag will show as updated, and filtering by it will still return the same records under the new name.
This is how you rename a tag across your whole account in one go.
Step 8: Delete a tag
Delete the tag from your tag settings.
It is removed from every record that had it. After that you will not be able to filter by it, and it will no longer appear anywhere in the system.
Important Notes
You must be in List view to add or remove tags in bulk.
Renaming a tag in settings updates it on every record at once. There is no need to edit records one by one.
Deleting a tag removes it from every record. Once gone, you cannot filter by it, and the tag no longer exists in your account.
Check the usage number before editing or deleting a tag. It tells you how many records will be affected.
Tags cover your Leads, Buyers, Agents, and Vendors, all managed from the same page.
Tagging at import time saves work later. It is the easiest way to find a specific batch of records again.
Troubleshooting
You cannot add tags to several records at once
Switch to List view first. The Actions menu with the tag options is only available there.
A tag disappeared from your records
It may have been deleted in settings. Deleting a tag removes it from every record that had it.
You cannot filter by a tag any more
If the tag was deleted, it no longer exists in the system and cannot be filtered on. You would need to recreate it and reapply it.
Your filter results do not match the usage number
Check that you have selected the right tag, and that no other filter parameters are narrowing your results further.
You need to rename a tag on a lot of records
Edit the tag in Settings, Customizations, Tags. The change applies everywhere automatically.
Summary
You managed your tags. You added them when creating records, on individual leads, and in bulk from list view using Actions. You reviewed every tag under Settings, Customizations, and Tags, checking usage counts and dates. You filtered records by tag, renamed a tag so the change applied everywhere, and deleted one you no longer needed.
