A Guide to the Customizations Settings in REsimpli

Overview

The Customizations page is where you shape REsimpli around how your business actually works — the questions you ask, the call results you record, the tags you use, and more.

There are eight settings on this page. This guide explains what each one does and when to use it.

The Eight Customization Settings

1. Custom Fields

Custom fields are the extra questions you ask on your records. They are available for:

  • Leads

  • Properties under inventory, sold, and rental

  • Buyers

  • Agents

  • Vendors

  • Prospects in list stacking

You can add a new question, edit an existing one, or delete one you no longer need.

Changes here apply to all of your existing records, not just new ones. Deleting a question removes it, and the answers recorded against it, everywhere.

If you are bulk importing a list, you can map your custom questions and their answers during the import so they arrive already filled in.


2. Call Outcome

Call outcomes are the results you log after a call, sometimes called call dispositions.

They apply when calling leads, buyers, vendors, agents, list stacking records, and cash buyers.

You can see all your existing outcomes, add new ones, and update or delete the ones you have.

For each outcome you set:

  • A name, such as Callback, Interested, or Closed

  • A colour

Once set up, you choose an outcome after finishing a call.


3. Task Type

Task types are the categories you pick from when creating a task.

You can add your own here so they are ready to select whenever you or your team create a task or a task template.

You can also add a task type on the fly while creating a task, but setting them up here in advance is quicker and keeps everyone consistent.


4. Dead Lead Reason

These are the reasons offered when you move a property into the Dead Leads pipeline — for example, the seller could not be contacted, or the property needs too much work.

Add the reasons your team actually uses here, so they can simply be selected at the time.

You can still add a reason manually when moving a property to dead leads, since you are prompted for one either way.


5. General Preferences

Two settings live here.

Hide custom fields without answers

Not every custom question is answered on every record. Turn this on to see only the fields that have answers. Leave it off to see every custom field regardless.

Choose which lead receives incoming communication

This one matters when the same phone number is associated with more than one property.

It decides where incoming calls, texts, and other communication history get logged. Your options are:

  • The first lead created with that phone number

  • The last lead created with that phone number

  • All leads with that phone number

Without this, communication from a repeat contact can end up on a record you are not looking at.


6. Tags

Tags are the labels you apply to leads, buyers, agents, and vendors.

Here you can add, edit, and delete them. For each tag you can see its usage — how many records carry it.

Editing a tag lets you rename it or change its colour, and the change applies to every record the tag is already on.


7. Task Settings

This controls what happens to open tasks when you manually change the status of a property or contact. Your options:

  • Mark everyone's pending tasks as completed

  • Leave all pending tasks as pending

  • Ask every time you change a status

Hover over the option for more detail before choosing.


8. Default Folders

Default folders are created automatically on new records, so your files always have somewhere consistent to go.

They apply to new leads going forward. Existing leads are not updated.


Important Notes

  • Custom field changes reach every existing record. Deleting a question removes it and its answers everywhere, so treat deletions carefully.

  • Default folders only apply going forward. Set them up before a large import, or that batch will miss them.

  • Tag edits apply everywhere. Renaming a tag in this page is how you rename it across all records at once.

  • Setting up call outcomes, task types, and dead lead reasons in advance is faster than creating them one at a time while working, and keeps your team's options consistent.

  • The incoming communication setting only matters when one phone number appears on several properties, but when it does, it decides where the conversation is recorded.

  • Task settings are per account. Each user configures their own.


Troubleshooting

Your custom question disappeared from all your leads

  • It was probably deleted from Custom Fields. Changes there apply to every existing record.

The call outcome you need is not in the list

  • Add it under Call Outcome, with a name and a colour.

Your team keeps creating slightly different task types

  • Set the task types you want under Task Type so everyone selects from the same list.

Communication from a repeat caller is logging on the wrong property

  • Check General Preferences. When one number is on several properties, that setting decides whether it logs against the first, last, or all of them.

Your custom fields list is cluttered with blank questions

  • Turn on hide custom fields without answers in General Preferences.

Existing leads do not have your default folders

  • Default folders apply to new records only. Existing leads need folders added manually.
