Overview
An email template is a message you build once and reuse. Instead of writing the same email over and over, you pick a template and send.
Templates work for individual emails and for campaigns, and you can design them with images, links, and your own formatting.
Steps
Part 1: Organize Your Templates
Step 1: Open your templates
Click Settings.
Click Templates.
You will see every template on your account, including the ones you created.
Step 2: Create a template folder
Folders decide where your templates can be used.
Common templates can be used for leads, buyers, vendors, agents, and all contacts across the system.
Or create a folder for one record type only, such as leads, buyers, vendors, agents, or list stacking prospects.
Each folder shows you where its templates can be used, so you can check at a glance.
Use a common folder when you want the same email available everywhere.
Part 2: Build Your Template
Step 3: Start a new template
Click to add a template.
Click Continue to Email Builder.
Step 4: Add your sender details
Fill in the sender details and the From Email — the address your email will come from.
Step 5: Verify your sending address
If the address has not been used before, you will be prompted to verify it.
Add the details you are asked for.
REsimpli sends a verification link to that email address.
Open the link and verify.
Once verified, that address can be used to send emails to your leads, buyers, and vendors.
Step 6: Write your email
Add your Subject and your Email Text.
Step 7: Choose plain text or rich format
You have two choices:
Plain Text — words only. You cannot add photos, signatures, or design elements.
Rich Format — full control over how the email looks.
Step 8: Design your email in rich format
Build the email by dragging and dropping blocks into place. For example, add a paragraph at the top, an image below it, then another paragraph underneath.
For text you can change:
Font
Font size
Font weight
Colour
Text alignment
Line height
You can also add:
Images
Social links
HTML
Step 9: Add attachments
Add any files you want to send with the email.
Step 10: Preview your email
Check how your email will look to the person receiving it. You can preview in:
Desktop view
Phone view
Tablet view
Step 11: Save
Click Save.
Part 3: Use Your Template
Step 12: Email a single lead
Hover over the lead's contact information.
Click the email icon.
Select from your available templates.
Preview the email so you know exactly what is going out.
Send.
If you want to send a one-off email instead, skip the template selection and write it there.
Step 13: Send a campaign using a template
Switch to List view.
Click Selected, then Select All, or select the records you want.
Click Actions, then Select Email.
Add a campaign name.
Choose whether to send to the primary email only or to all emails, for contacts with more than one address.
Click Continue.
Select one of your templates, or write the message manually.
Step 14: Check your credits
Before sending, make sure your email credits cover the number of people you are sending to.
Important Notes
The folder decides where a template can be used. A folder limited to one record type will not offer its templates elsewhere. Use a common folder for emails you want available everywhere.
A sending address must be verified before it can be used. Verification is not complete until you open the link REsimpli emails you.
Plain text cannot include images, signatures, or design. Switch to rich format for those.
Rich format is built by dragging blocks into place, so you can mix text and images in any order.
Always preview before sending. Desktop, phone, and tablet views show what the recipient actually sees.
Templates work for both single emails and campaigns. There is no separate template type.
Email credits must cover your recipient count, or your campaign may not go out as expected.
Troubleshooting
Your sending address is not accepted
It has not been verified. Check the inbox for that address and open the verification link REsimpli sent.
You cannot add images or design to your email
You are in Plain Text. Switch to Rich Format.
Your template is not showing when emailing a contact
Check the folder it is in. A folder restricted to one record type will not offer its templates for others.
Your email looks wrong on a phone
Use the phone preview before sending and adjust the layout.
Your campaign did not reach everyone
Check your email credits against the number of recipients, and check whether you selected primary email only where contacts have more than one address.
You need to send something one-off
Skip the template selection and write the email directly. You do not have to create a template for every message.
Summary
You created and used an email template. You opened Settings and Templates, made a folder with the right scope, and built your template in the Email Builder — adding sender details, verifying your from address, writing your subject and body, and designing it in rich format with images and links. You previewed it across desktop, phone, and tablet, saved it, then used it both to email a single lead and to send a campaign from list view.
