How to Create Task Templates in REsimpli

Overview

A task template is a task you set up once and reuse whenever you need it. You decide the task name, who it goes to, how urgent it is, when it is due, and what steps need to be done.

You would use this to save time on tasks you create often, like following up with a seller lead.

Steps

Step 1: Open your task templates

  1. Click Settings in the bottom-left corner of your screen.

  2. Click Templates.

  3. Click Task Templates. You will find it next to the SMS templates.


Step 2: Create a folder (optional)

Folders help you group your task templates. For example, you can keep separate folders for sellers, buyers, and vendors.

  1. Type a folder name. The video uses Seller Follow Ups.

  2. Choose where the folder is available. The video chooses Leads.

  3. Click Add Folder.


Step 3: Start a new template

  1. Open the folder you want the template to go in. Make sure you are inside that folder first.

  2. Click the Add Template button.


Step 4: Name your template

In Template Name, type a name for the template. The video uses Seller Follow Up 1.


Step 5: Fill in the task details

  1. In Task Name, type what the task is. The video uses Call Lead.

  2. In Task Type, choose the kind of task. The video chooses Call.

  3. In Details, type a short description of what needs to be done.

If the task type you need is not in the list, you can add your own custom task type.


Step 6: Choose who the task goes to

You can assign the task in two ways:

  • To a role — the task goes to whoever holds that role on the lead. The video uses Lead Manager.

  • To a specific user — the task always goes to the same person.

Pick whichever fits your process.


Step 7: Set the priority

Choose how urgent the task is. Your choices are:

  • Urgent

  • High

  • Medium

  • Low

  • None


Step 8: Set the due date

Choose when the task is due. Your choices are:

  • An hour after the task starts

  • A day after the task starts

  • A week after the task starts

  • A custom date and time you pick yourself


Step 9: Add a checklist (optional)

A checklist is a list of smaller steps inside the task. It shows your team member exactly what to do.

Add as many checklist items as you need.


Step 10: Continue to the next section

Click Continue.


Step 11: Choose your other settings

In the Other Settings section, you can:

  • Turn on a notification so the assignee knows about the task.

  • Turn on a task reminder.

If you turn on the task reminder:

  1. Choose when to send it. The video sends it an hour before the task is due.

  2. Choose where to send it. The video sends it to a phone number.


Step 12: Save your template

  1. Look over your task details and your other settings.

  2. Click Continue.

  3. Click Create Template.

Your task template is now saved and ready to use.


Important Notes

  • Open the folder you want first. If you are not inside the folder when you click Add Template, your template may end up somewhere else.

  • You can create your own task type if the one you need is not already in the list.

  • Assigning to a role means the task follows whoever holds that role on the lead. Assigning to a user means it always goes to the same person.

  • The due date is counted from when the task starts, unless you pick a custom date and time.

  • A task reminder is separate from notifying the assignee. Turn on whichever you need.


Troubleshooting

Your new template is in the wrong folder

You may not have been inside the folder when you created it. Open the correct folder first, then click Add Template.

The task type you need is not in the list

Add a custom task type instead of choosing from the list.


Your assignee does not know about the task

Open the Other Settings section and turn on the option to notify the assignee. You can also turn on a task reminder and choose when and where it is sent.


Summary

You created a task template. You put it in a folder, named it, and filled in the task name, type, and details. You chose who the task goes to, set its priority and due date, and added a checklist. You then set up notifications and a reminder, and saved the template.
