How to Create an Appointment in REsimpli

Overview

You can book an appointment against a lead so everyone knows when it is happening and who is handling it. REsimpli can also send reminders beforehand, by email or text.

You can create appointments for your leads, your list stacking records, and your contacts, including agents, buyers, and vendors.

Steps

Step 1: Open the record

Open the lead you want to book the appointment for.


Step 2: Open the appointments tab

Click the Tasks and Appointments tab.


Step 3: Start a new appointment

Click Add Appointment.


Step 4: Fill in the basic details

Complete the details of your appointment:

  • Title

  • Details

  • Appointment Setter

  • Appointment Type — the video chooses Seller Appointment

  • Type of Seller Appointment — the video chooses Phone Appointment

  • Assignee — the person who will handle the appointment

You can only choose an assignee from the team members already assigned to that lead. In the video, only the Owner and the Acquisition Manager are available, so the Acquisition Manager is chosen.


Step 5: Set the date and time

  1. Choose the date and time of the appointment.

  2. Change the time zone if you need to. Otherwise leave it as it is.

Click Continue.


Step 6: Set reminders for the seller (optional)

You can remind the seller before the appointment.

  • You can create up to five reminders.

  • Each one can be sent as an email or a text message.

  • Choose when each one goes out, such as an hour before the appointment.

  • For the message, pick one of your email templates or type it yourself. Text messages work the same way.

If you do not want reminders, just click Continue.

When you have finished adding them, click Continue.


Step 7: Notify the assignee (optional)

On the last screen you can let the assignee know about the appointment.

  1. Turn on the notification option.

  2. Choose whether they are told by email, by text, or both.

You can also set up reminders for the assignee here.


Step 8: Save your appointment

Click Add Appointment.

Your appointment will now appear under Upcoming Appointments.


Step 9: Look at past appointments

To see appointments that have already happened, click the Past button.


Important Notes

  • You can only assign an appointment to someone already assigned to that lead. If the person you want is not in the list, they need to be added to the lead first.

  • You can set up to five reminders for the seller.

  • Reminders can go out as an email or a text message, and you can use your saved templates for either.

  • Reminders and assignee notifications are both optional. You can create an appointment without either.

  • Notifying the assignee is separate from reminding the seller. Set up each one if you need both.

  • The same steps work for list stacking records and contacts such as agents, buyers, and vendors.


Troubleshooting

The person you want is not in the assignee list

  • They are not assigned to that lead yet. Add them to the lead, then create the appointment.

Your assignee does not know about the appointment

  • The notification may be switched off. Turn it on before you save, and choose email, text, or both.

You cannot add another reminder

  • Five is the limit. Remove one you do not need before adding a new one.

You cannot find an appointment

  • If it has already happened, it will be under Past rather than Upcoming Appointments.


Summary

You created an appointment. You opened the lead, went to Tasks and Appointments, and clicked Add Appointment. You filled in the title, type, assignee, date, and time, added reminders for the seller, and chose whether to notify the assignee. After clicking Add Appointment, it appeared under Upcoming Appointments.
