Overview
Global search looks inside the content of your notes, not just names and addresses.
This is how you find a property when you remember something that was written about it but not whose it was.
Steps
Step 1: Open the search bar
Click the search bar at the top of your screen. It is available anywhere in the CRM.
Step 2: Type a word from the note
Enter a word you expect to find in the note — for example renovation.
You do not need the name or the address. The word from the note is enough.
Step 3: Click the Notes filter
Click Notes.
Notes is the last filter in the list, which is why people miss it and assume notes are not searchable.
You will now see the records whose notes contain that word.
Step 4: Open the record
Click a result to open the lead or property.
The record opens in a new tab, so whatever you were working on stays open behind it.
Important Notes
Notes search finds things no other search will. If you cannot remember the name or the address, this is the way in.
The Notes filter is the last one in the list. It is easy to scroll past.
This is a good reason to write useful notes. A note that records why a seller was not ready, or what a contractor quoted, is findable months later — but only if the words are in it.
Search matches the words in the note. Specific, unusual words work better than common ones. Searching "roof" will return a lot; searching "roof quote 14k" narrows it.
Records open in a new tab, so your current work is not lost.
Troubleshooting
No results
Check the spelling, and try a different word from the note. Search matches the text inside the note, so a word you only think was in there will not return anything.
Too many results
Use a more specific word. Common terms appear across many notes.
You are seeing leads and contacts instead of notes
Click the Notes filter. It is the last one in the list.
You cannot find the Notes filter
Scroll to the end of the filter list. It sits after Leads and Contacts.
You remember the conversation but did not write a note
Search cannot find what was not written. The communication history on the record may still have it — open the contact and check their messages and call logs.
You lost the page you were on
You have not — records open in a new tab.
Summary
You searched your notes by their content. You clicked the search bar, typed a word you remembered from the note, and clicked Notes — the last filter in the list. The records whose notes contained that word were returned, and clicking a result opened the lead or property in a new tab.
