Overview
Notes are where you record what happened on a lead — what the seller said, why they are not ready, what you agreed to do next.
You can also tag a team member in a note, so the right person sees it.
Notes are searchable later by their content, which makes them worth writing properly.
Steps
Step 1: Open the lead
Open the lead you want to add a note to.
Step 2: Find the message box
The message box is at the bottom of the lead.
Step 3: Type your note
Type your note or comment — for example, New lead, call ASAP.
Step 4: Tag a team member
If someone else needs to see the note, tag them in it.
Step 5: Submit
Click Submit, or send.
The note is now recorded against that lead.
Important Notes
Notes are searchable by their content. Global search has a Notes filter, so a note is findable months later using a word from inside it — even if you have forgotten whose property it was.
Write notes someone else could act on. "Called" tells your team nothing. "Called, wants to sell after probate closes in March, call back Feb" is the note that finds itself later and means something when it does.
Tagging is how you hand something over. A note that needs someone else's attention should name them, not rely on them happening to open the lead.
The note stays with the lead, so the history travels with the property rather than living in someone's memory.
Include specific, unusual words when you can. They are what make a note findable later — searching a common term returns everything.
Troubleshooting
Your note did not appear
Click Submit after typing. The text is not saved until you do.
You cannot find the message box
It is at the bottom of the lead. Open the lead itself rather than viewing it from a pipeline list.
A teammate did not see your note
Tag them in it. An untagged note sits on the lead until someone opens it.
You cannot find a note you wrote months ago
Use global search with the Notes filter and a word you remember from the note. Notes is the last filter in the list.
You remember the conversation but cannot find a note about it
Search only finds what was written. If no note was made, check the lead's communication history instead.
