Overview
A smart filter narrows your list stacking records down to just the prospects you want to work on. You can use one once and discard it, or save it and reuse it whenever you need.
Saved filters can also be shared with your team, with control over whether they can just use it or change it.
Steps
Step 1: Start a new filter
In List Stacking, click Add a Filter.
Step 2: Choose your parameter
You will see the parameters available to filter on, including:
List
Tags
Contact info
Type of marketing
Property address
Pick the one you want.
Step 3: Set your condition
Choose how the parameter should match. Filtering on tags, for example, you can pick:
Has
Any of
Has all of
Then choose the value, such as a Probate tag.
Click Continue at the bottom.
Step 4: Decide whether to save it
You now have two choices:
Apply without saving — for a one-off, when you only need it now
Save and apply — if you will use this filter regularly
Saving Your Filter
Step 5: Name it
Type a filter name, such as Probate Leads.
Step 6: Add a description
Enter a description.
This is required. The filter will not save without one.
Step 7: Choose who can use it
Under Access and Save Location you decide whether to share the filter with your team.
Click Manage and choose a permission level:
Permission | What they can do |
View | Activate and use the filter. |
Edit | Change the parameters inside the filter. |
If you would rather keep the filter to yourself, leave it unshared.
Step 8: Save
Click Save and Apply.
Your filter is saved and applied straight away.
Step 9: Reuse it later
Every smart filter you save appears in your filter list. Click it any time to turn it on.
Important Notes
A description is required. Both a name and a description are needed before a filter can save.
Apply without saving is fine for a one-off. Save the filter if you will use it daily or weekly.
View and Edit are different. View lets a colleague use your filter; Edit lets them change what it does. Give Edit only where you are happy for the filter to be altered for everyone.
Filters left unshared stay on your own account.
Saved filters are reusable with one click, which is the main reason to save rather than rebuild.
Troubleshooting
Your filter will not save
You are probably missing the description. It is required, even though it looks optional.
A colleague changed your filter
They were given Edit permission. Set them to View if they should only be able to use it.
A colleague cannot see your filter
It was not shared. Open the filter, click Manage under Access and Save Location, and give them access.
Your filter returns nothing
Your conditions may be too narrow. Check the operator you chose — has all of is stricter than any of.
You keep rebuilding the same filter
Save it. Saved filters can be turned on from your filter list whenever you need them.
Summary
You created a smart filter in List Stacking. You clicked Add a Filter, chose a parameter such as tags, set your condition, and clicked Continue. You then either applied it once, or saved it with a name, a required description, and access settings controlling whether your team can view or edit it — and clicked Save and Apply.
