How to Set Up an Automation for New Sold Properties in REsimpli

Overview

You can have REsimpli do things automatically whenever a property is moved into your sold pipeline — for example, notifying the team that a deal has closed.

You build the automation once, tie it to a marketing campaign, and it runs on its own from then on.

Steps

Part 1: Build the Automation

Step 1: Open your sold automations

  1. Go to Automations.

  2. Click Sold.

There are three automations you can set up here. This guide covers New Sold Properties.

You will see any automations you already have. To build a new one, click Automation.


Step 2: Name your automation

Enter a name so you can recognise it later.


Step 3: Choose the campaign

Select which marketing campaign this automation belongs to.

This is what connects the automation to your properties. Any lead tied to that campaign will trigger this automation when it is moved to the sold pipeline.


Step 4: Set the fallback communication number

This number is used for calls and texts when no number is assigned to the campaign.


Step 5: Set your timing

Choose how the automation is paced:

  • Day-based — steps run on day 1, day 2, and so on, or at a specific time

  • Delay-based — steps run after a delay you set in minutes, hours, days, or weeks

Then set your default time zone, such as Eastern Time, and click Save.


Step 6: Build your sequence

Add the steps you want the automation to carry out.

To notify your team:

  1. Choose who is notified — by role, by naming specific members, or everyone assigned to that property.

  2. Choose the notification channel: SMS, email, web, or in-app.

  3. Write the notification text.


Step 7: Stop other automations (optional)

You can have this automation switch others off, since a property can have several automations running at once. You can either:

  • Stop selected automations

  • Stop all other automations currently active on that property

This has to be the last step in your sequence. Once it runs, no further actions can follow.


Step 8: Save

Click Save.


Part 2: Test It

Step 9: Check the property is on the right campaign

Your automation only fires for properties tied to the campaign you chose in Step 3. Update the property's marketing campaign if it is not already set.


Step 10: Move the property under contract

A property has to pass through Under Contract before it can be sold.

  1. Click the property's current status.

  2. Move it to Under Contract.

  3. Add the offer details and the under contract date.


Step 11: Move the property to sold

  1. Update the status to Sold.

  2. Add your profit on the deal and the contract closing date.

Your automation will trigger as the property moves.


Step 12: Confirm it ran

Open the lead's activity log and click All.

You will see the full sequence — when the property moved from active leads to under contract, then to sold, and confirmation that the automation was assigned successfully and is active on that property.


Important Notes

  • The campaign is the link. An automation only runs for properties tied to the campaign you selected. If a property is on a different campaign, nothing happens.

  • Under Contract comes before Sold. A property cannot go straight to sold.

  • Stopping other automations must be your final step. Nothing can run after it.

  • A property can have several automations active at once, which is why the stop option exists.

  • The fallback communication number is only used when the campaign has no number of its own.

  • Check the activity log after testing. It confirms both the status changes and that the automation was applied.


Troubleshooting

Your automation did not run

  • The property is probably not tied to the campaign your automation uses. Check the property's marketing campaign.

You cannot move a property to sold

  • It needs to be Under Contract first, or already in the Transaction Management Pipeline.

Your team was not notified

  • Check who the notification step targets — a role, named members, or everyone assigned — and that the person you expected fits that.

Steps after your stop action never ran

  • Stopping other automations ends the sequence. Move it to the end and put your other steps before it.

You are not sure whether the automation applied

  • Open the lead's activity log and click All. It records whether the automation was assigned successfully.


Summary

You built an automation for sold properties. You opened Automations and Sold, created a new automation, and gave it a name, a campaign, a fallback number, and your timing preferences. You added a step to notify your team through your chosen channel, optionally stopped other automations as the final step, and saved. You then tested it by moving a property through Under Contract to Sold, and confirmed in the activity log that it ran.
