How to Automate Actions When a Property Moves to Rentals in REsimpli

Overview

This automation runs when a property is moved into your rentals pipeline — the point at which you are holding it as a rental rather than selling it.

It can message contacts, tag the property, notify your team, and move it straight on to another status such as Under Rehab.

Before You Start

A property can only be moved to Rentals if it is currently in the Under Contract status. From Under Contract, a property can go to either Sold or Rental.

The move to rentals also captures the monthly rent, so have that to hand.


Steps

Part 1: Build the Automation

Step 1: Open your rental automations

  1. Go to Automations.

  2. Click Rentals.

  3. Select New Rental Property.

  4. Add an automation.


Step 2: Name it and choose the condition

  1. Enter an automation name.

  2. Select the campaigns this automation applies to.

You can select more than one campaign. Any property tied to one of them will trigger the automation when it moves to rentals.

Click Save.


Step 3: Set your timing

Choose your delay preference — day-based or delay-based.


Step 4: Add an SMS step

  1. Choose the recipient — the seller, buyer, agent, or vendor.

  2. Select one of your templates, or type the message.

  3. Decide whether to skip the step on holidays and weekends. Toggle it on to hold the message back, or leave it unchecked to send regardless.

  4. If no phone number is tied to the property, select the fallback communication number.


Step 5: Add any other steps

You can also:

  • Add or remove a tag automatically

  • Notify team members

  • Change the property's status

  • Unassign team members

  • Stop other automations


Step 6: Move the property on

Once your other steps have run, the automation can move the property to another status — Under Rehab, for example, if work is needed before letting it.


Step 7: Save

Click Save.


Part 2: Test It

Step 8: Check the campaign

The automation only fires for properties tied to the campaigns you selected.

If a property is on a different campaign, moving it to rentals will do nothing. Update the campaign first if you want it to trigger.


Step 9: Move the property under contract

Change the property's status to Under Contract and fill in the details.


Step 10: Move it to rentals

Move the property to Rentals, filling in the details including the monthly rent.

Your automation will fire.


Step 11: Confirm it ran

Click the automation button on the property. Yours will be listed as enabled.

Click it to see the steps that will be taken and those already completed.


Step 12: Check enrollment

Go to Automations to see how many leads have the automation enabled, then open Automation Enrollment for the full list.

Click any property to see each step's status and when it is scheduled to run.


Important Notes

  • Under Contract comes first. A property cannot go straight to Rentals. From Under Contract it can go to either Sold or Rental.

  • Monthly rent is captured on the move, so the figure needs to be known at that point.

  • You can tie one automation to several campaigns, which is useful when the same follow-up applies across more than one lead source.

  • A property on a campaign you did not select will not trigger the automation, even if everything else matches.

  • The weekend and holiday skip stops a message arriving at an awkward time. Leave it unchecked if the message should go regardless.

  • An automation can move the property on to another status, so a rental can go straight into Under Rehab without anyone doing it by hand.


Troubleshooting

You cannot move a property to Rentals

  • It is not under contract yet. Move it to Under Contract first.

Your automation did not trigger

  • Check the property's marketing campaign is one of the campaigns selected on the automation.

Your SMS has not gone out

  • Check whether the weekend and holiday skip is turned on, and whether the delay on that step has elapsed.

There is no phone number on the property

  • Select the fallback communication number on the SMS step so the message still sends.

You want to see everything enrolled

  • Open the automation and check Automation Enrollment for the full list of properties and step statuses.

You built an automation for properties moving into rentals. You opened Automations, Rentals, and New Rental Property, tied it to one or more campaigns, and set your timing. You added an SMS with a weekend and holiday skip, tags, team notifications, and a step to move the property on to Under Rehab. You then tested it by moving a property through Under Contract to Rentals with its monthly rent, and confirmed the result on the property and in Automation Enrollment.
