How to Set Up Manual Automations for Rental Properties in REsimpli

Overview

A manual rental automation is one you switch on yourself for a particular property, rather than one that fires on its own.

The natural use is the moment a property is let: message the tenant, move it to Rented, set up the monthly rent reminder, and give your team the follow-up work.

Steps

Part 1: Build the Automation

Step 1: Open your manual rental automations

  1. Go to Automations.

  2. Click Rentals.

  3. Select Manual Assignment.

  4. Add an automation and give it a name.


Step 2: Set your timing

Choose your delay preference — day-based or delay-based.


Step 3: Send a welcome SMS

Once a property has been rented, you can message the tenant.

  1. Add an SMS step.

  2. Set the delay — the video sends it one minute after the automation is activated on the property.

  3. Select the recipient. If the renter has been added as a seller on that property, select them there.


Step 4: Move the property to Rented

Add a change status step to move the property into the Rented status.


Step 5: Set up the rent reminder

Add another SMS step as a monthly reminder for the rent payment.

This is what makes a manual rental automation worth building once and reusing for every let.


Step 6: Create follow-up work

Add a task step:

  1. Set the delay in hours, days, or weeks — the video schedules it four weeks out.

  2. Select the task type, such as a follow-up call.

  3. Select the assignee.


Step 7: Notify your team

You can time a notification against the task itself — for example, one minute after the task is due.

Choose who is notified, such as everyone assigned, and the channel: email, web, SMS, or in-app.


Step 8: Add any other steps

You can also add notes, or any other step your process needs.


Step 9: Save

Click Save.


Part 2: Enable It on a Property

Step 10: Open the property

Open the rental property you want to run the automation on.


Step 11: Add the automation

  1. Click the automation button.

  2. Click Add Automation.

  3. Select the automation you created and click Add to Automation.

It is now active on that property.


Step 12: Check what will happen

Click the automation to see its scheduled actions:

  • The first SMS, the date and time it will be sent, and a preview of the message

  • Every other step in sequence


Important Notes

  • Manual automations do not start on their own. You enable them per property, which fits a letting — it happens once, when you decide.

  • A monthly rent reminder can be built into the automation, so the tenant is prompted without anyone diarising it.

  • Steps can be delayed by hours, days, or weeks, so a follow-up call four weeks after move-in can be scheduled at the same time as the welcome message.

  • Notifications can be timed against a task's due date, not just the automation start — for example, alerting the team a minute after a task becomes due.

  • The SMS preview shows exactly what the tenant will receive before anything is sent.

  • If the renter is recorded as a seller on the property, that is who you select as the SMS recipient.


Troubleshooting

Your automation has not run

  • It has to be enabled on the property by hand. Open the property, click the automation button, and add it.

You cannot select the renter as the recipient

  • Check how the renter is recorded on the property. If they are added as a seller, select them there.

Your team was not told a task was overdue

  • Add a notification timed against the task's due date, and pick a channel they will see.

A step has not run yet

  • Check its delay. Steps can be set weeks out, so the sequence may still be in progress.

You want to check the message before it sends

  • Open the automation from the property. The scheduled actions include a preview of the SMS.
