Overview
A manual inventory automation is one you switch on yourself for a particular property you are holding, rather than one that fires on its own.
It can message a contact, create tasks, set up a folder for the property's files, and assign your team.
Steps
Part 1: Build the Automation
Step 1: Open your manual inventory automations
Go to Automations.
Click Inventory.
Select Manual Assignment.
Click Add Automation and enter an automation name.
Step 2: Set your timing
Choose your delay preference — day-based or delay-based.
Step 3: Add an SMS step
Select one of your templates, or write the message here.
Select the recipient — the seller, buyer, agent, or vendor.
Choose which number to send from.
Step 4: Add a task step
Set up a task for your team to complete.
Step 5: Add a folder step
Give the folder a name.
The folder is created under the Files tab on that property, so documents have somewhere to go before anyone needs them.
Step 6: Assign your team
Add an assign team members step and click Confirm Assignment.
Choose how properties are shared out:
Method | How it works |
Round robin / equal distribution | Properties are shared evenly. The first goes to the first lead manager, the second to the second, and so on. |
All selected team members | Everyone selected is assigned to the property. Several people can hold the same role on one property. |
Weighted round robin | Shared in turn, but not evenly. |

Step 7: Save
Click Save.
Part 2: Enable It on a Property
Step 8: Open a property
Go to the Inventory tab and open the property you want.
Step 9: Add the automation
Click the automation button.
Click Add Automation.
You will see a preview of the automation. Click Add to Automation.
It is now active on that property.
Step 10: Check the scheduled actions
Click the automation to see each step in order — for example:
The SMS, when it will be sent, and a preview of the message
The team members being assigned
The folder that will be created
Part 3: Track It
Step 11: See everything enrolled
Go to Automations, Inventory, then Manual Assignment.
Open the automation.
Go to Automation Enrollment.
You will see every property with the automation enabled.
Step 12: Check an individual property
Open a property from the list to see each step's status, when it is due to run, and for anything already done, the date and time it was carried out.
Important Notes
Manual automations do not start on their own. You enable them per property, which suits work that only applies to some holdings.
The folder step creates a folder in the property's Files tab, so paperwork has a home from the start.
All selected team members assigns everyone you pick, rather than sharing properties out. Use round robin if you want an even workload instead.
Several people can hold the same role on one property, which is what makes that option useful.
You see a preview of the automation before adding it, and a preview of the SMS in the scheduled actions, so nothing goes out unseen.
Troubleshooting
Your automation has not run
It has to be enabled on the property by hand. Open the property, click the automation button, and add it.
Your SMS went to the wrong person
Check the recipient on the SMS step — seller, buyer, agent, or vendor — and which of their contacts was selected.
Properties are all being assigned to one person
Check your distribution method. All selected team members assigns everyone; round robin shares them out evenly.
You cannot find the folder the automation created
It is added under the Files tab on that property.
You want to see which properties are enrolled
Open the automation under Manual Assignment and check Automation Enrollment.
Summary
You built a manual automation for inventory properties. Under Automations, Inventory, and Manual Assignment you created it, set your timing, and added steps — an SMS to a chosen contact, a task, a folder that appears in the property's Files tab, and a team assignment with your chosen distribution method.
