Overview
A manual vendor automation is one you switch on yourself for a particular vendor, rather than one that fires on its own.
It suits work that only applies sometimes — for example, everything that needs to happen when you book an appointment with a vendor.
Steps
Part 1: Build the Automation
Step 1: Open your manual vendor automations
Go to Automations.
Click Vendors.
Select Manual Assignment.
Click Add Automation.
Step 2: Name it and set your timing
Enter an automation name — the video uses one for booking a vendor appointment.
Set your delay preference and default time zone.
Click Save.
Step 3: Add a message step
Write the message, or select one of your templates.
Choose the recipient — the primary vendor on that profile, or another vendor.
Set the fallback communication number, used when the campaign tied to the vendor has no phone number linked.
Step 4: Add any other steps
You can also:
Add a note
Add or remove a tag
Add a task for your team
Change the vendor's status, then choose what happens to the pending tasks from the old status
Notify team members — everyone assigned, or a specific person
Step 5: Save
Click Save.
Part 2: Enable It on a Vendor
Step 6: Open the vendor
Go to Contacts, then Vendors, and open the vendor you want.
Step 7: Add the automation
Click Add Automation.
Select the automation you created.
Click Add to Automation.
Only automations created under Manual Assignment appear in this list. If you want more options here, build them there first.
Step 8: Check what will happen
Click the automation to see its steps, and when each is scheduled to be executed.
Step 9: Stop it if you need to
You can stop the automation from this same view, which takes that vendor out of it without affecting anyone else.
Important Notes
Manual automations do not start on their own. You enable them per vendor.
Only Manual Assignment automations can be added by hand. Automations built under other trigger types will not appear in the list on a vendor record.
You can stop a running automation from the vendor record, which is how you remove a single contact from a sequence.
The fallback communication number covers vendors whose campaign has no phone number, so the message still has somewhere to send from.
Changing a status lets you decide about old pending tasks — complete them or leave them open.
Troubleshooting
The automation you want is not in the list on a vendor
Only automations created under Manual Assignment can be added by hand. Build it there.
Your automation has not run
It has to be enabled on the vendor. Open the vendor, click Add Automation, and add it.
You need to take one vendor out of an automation
Open the automation on that vendor's record and stop it there. Other vendors are unaffected.
Your message did not send
The vendor's campaign may have no phone number linked. Set a fallback communication number on the message step.
You want to know when steps will run
Click the automation on the vendor record to see each step and its scheduled execution time.
Summary
You built a manual automation for vendors. Under Automations, Vendors, and Manual Assignment you created it, set your timing, and added a message with a fallback number, plus notes, tags, tasks, a status change, and team notifications. You then opened a vendor from Contacts, added the automation, reviewed its scheduled steps, and saw how to stop it from the same view.
