Overview
An eSign template is a document you prepare once, with all the signature and data fields already in place. After that you can send it for signature whenever you need to, without setting it up again.
You can send documents to leads, buyers, agents, and vendors.
Steps
Part 1: Create Your Template
Step 1: Open your eSign documents
Click Settings in the lower-left corner of your screen.
Click eSign Documents.
You will see all your existing documents.
Step 2: Upload your document
Click Add eSign Template in the upper-right corner.
Select your document from your computer.
Your file must be a PDF.
Step 3: Add your fields
Once the document has loaded, drag and drop fields from the left onto the right places in your document.
Four kinds of field are available:
Field type | What it does |
Signature Fields | Where someone signs. |
Data Entry Fields | Where someone types information in. |
Advanced Fields | Secured fields, images, and hyperlinks. |
Personalized Fields | Fill in automatically from the contact record. |
Step 4: Set up your recipients
On the right side of the screen, configure your recipient parties.
This is what lets more than one person sign the same document, such as a buyer and a seller.
Step 5: Check your colour coding
Each field is colour-coded by whoever it is assigned to. In a two-party document, blue fields belong to the first party and green fields to the second.
Each recipient can only complete the fields assigned to them.
Step 6: Lock any fields you fill in yourself
If a field should not be editable by anyone signing:
Click the field.
On the right side, change the assignment to No Party Selected.
The field turns gray. Nobody signing can edit it, which means you must fill it in before sending.
Step 7: Save your template
Click Save and Close.
Part 2: Send a Document for Signature
Step 8: Open the contact
Open the profile of the person you are sending to. This can be a lead, buyer, agent, or vendor.
Step 9: Start the eSign
Click Actions.
Click Send for eSign.
Step 10: Choose your template
Select the eSign document you want, then click Select eSign Template.
Step 11: Map your recipients
Assign each party. You have three options:
Pull the details from the contact record
Type the details in manually
Use Fill My Info to enter your own details
Step 12: Review before sending
Click Send eSign Document.
Look over the document and complete anything still outstanding — especially the gray fields, since no recipient can fill those in.
You can also pre-fill fields assigned to the recipient if you already know the answers.
Step 13: Send
Click Send.
Important Notes
Your document must be a PDF.
Fields are placed by dragging them from the left onto your document.
Colour tells you who owns a field. Blue for the first party, green for the second.
Gray fields belong to nobody and must be filled in by you before sending. Recipients cannot complete them.
Use No Party Selected to lock a field so signers cannot change it.
You can send documents to leads, buyers, agents, and vendors.
Fill My Info saves typing your own details in each time.
You can pre-fill a recipient's fields if you already know the answers.
Troubleshooting
Your document will not upload
It must be a PDF. Save it in that format and try again.
A recipient says they cannot complete a field
That field is either assigned to another party, or set to No Party Selected and locked. Check the colour of the field.
A returned document has blank fields
Those may have been gray fields, which no recipient can fill in. You need to complete those before sending.
The wrong person was asked to sign something
Check the colour coding. Each colour maps to a party, and people can only complete their own fields.
You are retyping your own details every time
Use Fill My Info when mapping recipients.
Summary
You created an eSign template and sent it for signature. You opened Settings and eSign Documents, uploaded a PDF with Add eSign Template, and dragged signature, data entry, advanced, and personalized fields into place. You set up your parties, used the colour coding to check who owned each field, locked the fields you fill in yourself, and clicked Save and Close. To send it, you opened a contact, used Actions and Send for eSign, mapped the recipients, completed the gray fields, and clicked Send.
