Overview
You can upload files, documents, and photos to a lead — contracts, inspection reports, photos of the property — so everything to do with that deal sits on the record.
Files go into folders, and you can create your own to keep them separated.
Before You Start
Select your folder before you upload. The file goes into whichever folder is currently open or highlighted in the left panel. If you upload without checking, the file lands somewhere you did not intend.
Steps
Step 1: Open the lead
Open the lead you want to upload files to.
Step 2: Go to the Files tab
Click the Files tab.
By default it sits beside Tasks and Appointments and E-sign.
Step 3: Choose or create a folder
To keep files separated, create a new folder here.
Or upload into an existing folder, such as General.
Step 4: Make sure the folder is selected
Check that you are inside the folder, or that it is highlighted in the left panel.
This is what decides where the file ends up.
Step 5: Click Add File
Click Add File and choose the file you want to upload.
Important Notes
The highlighted folder in the left panel is the destination. This is the single most common reason a file "disappears" — it uploaded successfully, into a different folder.
Create folders before you need them. Separating contracts, photos, and inspection reports takes seconds at upload and saves real time when someone is looking for one document under pressure.
General is the catch-all. Useful when you are moving quickly, but a lead with forty files in General is no better organised than a shoebox.
Files live on the lead, so the paperwork travels with the property rather than sitting in someone's email.
The Files tab sits beside Tasks and Appointments and E-sign by default. If your tabs have been reordered, it may not be where you expect.
If your account has default folders configured, new leads arrive with those folders already in place.
Troubleshooting
Your file uploaded but you cannot find it
Check which folder was highlighted in the left panel when you uploaded. The file is almost certainly in a different folder rather than missing.
You cannot find the Files tab
It sits beside Tasks and Appointments and E-sign on the lead by default.
Your new folders are not appearing on existing leads
Default folder settings apply to records created afterwards. Existing leads keep the folders they already had.
You want to separate files after uploading everything to General
Create the folders you need, then move the files across.
Nobody can find the documents on a deal
Agree a folder convention with your team. Folders only help if everyone uses the same ones.
